Rental Agreement
Thank you for choosing Bluebird Event Rentals. We are so glad to be part of your event. This agreement keeps both of us on the same page about how rentals work. By placing an order and paying your deposit, you are agreeing to the terms below.
This Rental Agreement (the "Agreement") is between Bluebird Event Rentals (the "Company," "we," or "us") and the person or organization placing the order (the "Renter," "you"). It takes effect on the date you reserve your order.
The short version
- A 50% deposit reserves your date. The balance is due before delivery.
- Plans change, and that is okay. Your deposit is transferable to a new date within 12 months.
- Please take reasonable care of the pieces. You are responsible for items from delivery until we pick them up.
- Normal wear is on us. Significant loss or damage is billed for repair or replacement.
- Our rental minimum is $300 before delivery.
1.Payment & Reservations
1.1 Deposit. A 50% deposit is due at the time of booking to reserve your items and hold your date. Items are not considered reserved until the deposit is received.
1.2 Balance. The remaining balance is due no later than 14 days before your event date, or before delivery, whichever comes first. For orders placed within 14 days of the event, full payment is due at the time of booking.
1.3 Order minimum. Our rental minimum is $300 before delivery and applies to both delivery and will-call pickup orders.
1.4 Damage & loss charges. We do not require a security deposit. Instead, by booking you authorize us to charge the payment method on file for any repair, replacement, late-return, or extra-cleaning costs as described in this Agreement, and only if they apply. We will always itemize and let you know before charging.
2.Changes & Cancellations
2.1 Life happens. If your plans change, tell us as early as you can and we will do our best to help.
2.2 Moving your date. Your deposit is transferable to a new date within 12 months of the original event, subject to availability. We will gladly apply it to a rescheduled order.
2.3 Cancellations.
- 14 or more days before the event: any balance you have paid beyond the deposit is refunded. The deposit converts to a transferable credit good for 12 months.
- Within 14 days of the event: rental fees are non-refundable, but any delivery fee is refunded.
2.4 Adding items. Need more? Additions are welcome any time before your balance is due, subject to availability.
3.Condition of Items & Substitutions
3.1 As-is. Rented items are provided on an "as-is" basis. We keep our inventory in good, clean, working condition, but we make no warranties, express or implied, regarding suitability or fitness for a particular purpose. We are not liable for damage caused by misuse or accidents during the rental period.
3.2 Substitutions. On the rare occasion an item is unavailable, we reserve the right to substitute a comparable piece of equal or greater value, and we will let you know if we do.
4.Care of Items & Cleaning
4.1 Reasonable care. Please keep the rented items in a secure, dry place and use them as intended. You are responsible for the items from the moment they are delivered or picked up until they are returned to us or collected by our crew.
4.2 Returning clean. Dishes, glassware, and flatware should be scraped and rinsed and returned to their crates. Please do not launder linens; simply shake out debris and return them dry to avoid mildew. We handle the professional cleaning.
4.3 Extra cleaning. Items returned with excessive food, wax, or debris, or linens returned wet, may incur a cleaning fee.
4.4 Outdoor use. If items are used outdoors, please protect them from rain, sprinklers, and harsh sun. Weather-related damage is the Renter's responsibility.
5.Delivery & Pickup
5.1 Delivery options. We offer a few ways to get your rentals to you:
- Drop-off delivery & pickup. We deliver and collect within 150 feet of a ground-level access point. This does not include stairs, elevators, or the setup and breakdown of items such as tables, chairs, and linens, or the unpacking and repacking of dishware. Items that require our assembly, such as backdrops or dance floors, are set up as part of this service.
- White-glove delivery with setup & breakdown. We deliver, set up, break down, and collect your rentals (tables, chairs, linens, and more). Stairs and elevators are not included unless arranged in advance.
- Will-call pickup & return. Free pickup from our RiNo studio for smaller orders. Please arrive within your scheduled one-hour window, bring a vehicle of appropriate size, and supply your own straps or padding to transport items safely.
5.2 Someone on site. Please have someone available at the scheduled delivery and pickup times to receive and release the items. If no one is available, additional trip or wait charges may apply.
5.3 Extra labor. A $50 per hour labor fee applies if setup, breakdown, packing, or access requires work beyond the agreed-upon scope (for example, stairs that were not arranged, or items not repacked for will-call return).
5.4 Loading. For will-call orders, we are not responsible for damage to your vehicle that may occur during loading or transport. Please bring appropriate equipment and help.
6.Damage, Loss & Late Return
6.1 Normal wear. Everyday wear and tear is expected and is on us.
6.2 Damage or loss. Significant damage or loss (above 1% of the rented quantity of an item) is billed at the cost to repair or, if the item is beyond repair or not returned, at full replacement cost.
6.3 Late returns. Items must be returned or available for pickup on the agreed date. Items returned late are charged a fee of 100% of the daily rental rate per day until they are returned or the replacement cost is reached, so we can re-stock for other clients.
7.Liability, Safety & Indemnification
7.1 Safe use. Please use all items safely and as intended. We are not responsible for accidents, injuries, or property damage resulting from the use or misuse of rented items during the rental period.
7.2 Indemnification. To the fullest extent permitted by law, you agree to hold harmless and indemnify Bluebird Event Rentals from claims, damages, or expenses arising out of your use of the rented items, except to the extent caused by our own negligence.
7.3 Insurance & permits. For larger events we recommend event liability insurance, and you are responsible for obtaining any permits required by your venue or municipality.
8.Force Majeure
Neither party is liable for failure to perform due to events beyond reasonable control, such as severe weather, natural disasters, public health orders, or other emergencies. In these cases we will work with you to reschedule and apply your deposit to a new date within 12 months.
9.Photography
We love sharing the beautiful events we are part of. We may photograph our items in use and feature them on our website or social media. If you would prefer we not, just let us know and we will happily keep your event private.
10.Governing Law & Disputes
10.1 This Agreement is governed by the laws of the State of Colorado, without regard to its conflict of laws principles.
10.2 To the fullest extent permitted by law, both parties agree to waive the right to a jury trial in any legal proceeding arising from or related to this Agreement.
11.Acceptance
By submitting a booking request, paying a deposit, or accepting delivery of the items, you acknowledge that you have read, understood, and agreed to this Agreement.
